QRG: Getting Started with uAchieve®


This Quick Reference Guide (QRG) offers a visual guide on how to interpret and understand a uAchieve degree audit. Included are visual cues, icon legends, and descriptions of various audit features.

NOTE: Your screens may look different depending on the functionality your institution has implemented, custom branding, and/or your permissions.


What is uAchieve?

uAchieve is the CollegeSource degree audit and student planning system that allows students and faculty to track progress toward degree completion while highlighting remaining courses and requirements needed to graduate. At the current time, uAchieve is implemented as a package with the following components:

  • Degree audit
  • Transfer articulation (TA) functionality
  • Batch audit functionality
  • Academic planner
  • Course scheduler

uAchieve has been a client-based application but has recently made the switch to a hosted service. New implementations going forward will be cloud-based, hosted services.


What is a Degree Audit?

At its most basic, a degree audit is an on-demand report of a student’s progress to graduation: it displays taken courses, accrued credits, and courses still to be completed in a chosen program of study. The system was designed to help students, faculty, advisors, and administrators quickly identify a student's fulfilled degree requirements and those still remaining for graduation.

A uAchieve degree audit provides an interactive, at-a-glance visual of this progress using color-coded charts and graphs (next), as well as a detailed text-based audit that can be as detailed and informational or as simple as an institution prefers.

The bottom of the screen provides greater detail and text instructions for student programs. Audits are made up of a list of components with two levels of detail:

  • High-level requirement earned and still needed amounts
  • Sub-groups of instructions and expected courses

How do You Run an Audit?



uAchieve allows students, advisors, and faculty to run audit reports of real-time data at any time through our web interface. At the Request an Audit screen, click Run Declared Programs to get an audit of a student’s current degree program.


The new report will appear at the top of the completed audit list. Click the Program code or View Audit to open the report.




What is a What-if Audit?


uAchieve includes the ability to run what-if audits to see how a student’s taken courses might apply to a program different than the one they are currently pursuing.


What-if audits can be as simple or as complex as each institution would like. At left, the student is allowed to not only select a new major program, but also additional majors, minors, and concentrations.


What is Program Matcher?

Program Matcher is another uAchieve function that matches a student’s taken courses to all available programs. Program Matcher was developed to help students who are contemplating changing majors or trying to determine the quickest path to graduation. With a single click, students and advisors generate a bar chart displaying how the student’s coursework would apply toward other programs at your institution.





What About Batch Audits?


uAchieve includes a batch audit processing function for administrative personnel to quickly and easily create, schedule, and share batch data for departmental analysis purposes (such as graduation clearance) without IT assistance.


How do you Create Audit Details?


Degree program requirements are built using a process called encoding that involves interpreting institutional policy (defining repeat and reuse policies, defining course relationships, etc.), testing and troubleshooting, managing curriculum changes, etc. This activity is handled in a uAchieve interface that enables functional staff familiar with the curriculum and comfortable working with common interface navigation such as drop down menus, text boxes, check boxes etc. Tooltips provide on-screen descriptions and help when a user hovers over a particular field, and CollegeSource provides full encoding training upon implementation.


How Does uAchieve Handle Transfer Articulation?

uAchieve includes transfer articulation (TA) functionality to automate evaluation by allowing you to:

  • Set up rules to equate transfer courses with appropriate home course designations
  • Translate grades and credit from transfer to home institutions
  • Store course equivalencies per institution
  • Store program-specific equivalencies per institution
  • Store state-wide transfer rules/agreements
  • Bridge processed transfer work in real-time to your student information system (SIS)
  • Apply transfer courses to your audit report


Students and advisors can view evaluations of taken transfer work and see how articulated courses apply in the audit.




TA functionality is available using the uAchieve web interface (Self-Service), so the function can be distributed to various users across campus with no special software requirement, if desired.


Can uAchieve Handle Electronic Transcripts?


CollegeSource has a new add-on product for uAchieve, Transcript Importer, that extracts XML from electronic transcripts and automatically reads courses into the uAchieve student data table. It can also be set to run articulations and kick off the process to pass evaluated courses back to your SIS.



What is the Planner?

The uAchieve Planner allows students to build personalized, term-by-term plans to stay on track toward graduation. Students can create plans from roadmaps designed by your departments or directly from their uAchieve audit. The planner validates student plans against their audits to ensure planned courses satisfy degree requirements. As students build plans, their course selections provide your school with aggregate data from student plans for demand analysis and classroom scheduling.



What is a Roadmap?


Roadmaps are built by your institution to provide guides for students (or advisors) to create term-by-term plans for degree programs, minors, concentrations, and other programs of study. They represent “best” or most efficient paths to graduation. Roadmaps can be made as specific or general as your programs require and can provide guidance through critical, preferred, and required courses as well as pre-requisite courses or warnings against planning in terms they are not offered.

What is a Plan?


A plan is a student's customized map of courses, term-by-term toward graduation. Plans can be built from departmental roadmaps or directly from the uAchieve degree audit using a drag and drop method. Plans are validated against program audits to ensure the correct courses are being taken at the correct time. When a plan is validated, the roadmap associated with a student’s plan is dynamically updated to reflect completed planned coursework, incomplete planned course work, and failed coursework to alert students if they need to re-plan.

Plans can also be built from multiple roadmaps or program audits, allowing additions of minors, concentrated studies, etc.


What is Schedmule?


Schedmule further helps students plan their academic terms by allowing students to schedule planned courses according to preferences of days/times offered, location, instructor, friends’ schedules, and other non-curricular commitments. Students can view seat availability and wait lists. And they can build schedules manually or let Schedmule automatically generate combinations based on their indicated preferences. Students can then share schedules with friends and push courses to into registration with PeopleSoft Campus Solutions v9 and Ellucian Banner XE.





Can I Communicate Across uAchieve?

uAchieve Commenting allows students and staff to collaborate throughout the academic planning process. Notes can be added in uAchieve as private reminders or shared with students or other advisors, as desired; users can also be notified by email when a new comment is added.
