All Closed Evaluations
When an evaluation task has been completed it can be closed in one of two ways. There is a Close action for institutions that either do not wish to store equivalencies in TES, or for equivalencies that have been denied.1 There is a Create an Equivalency and Close action for institutions that store their equivalencies in TES. Every closed evaluation task will be stored in the All Closed Evaluations queue.
- Only individuals with the Equivalency Manager User Right and the Evaluation Tracker User Right may view this queue. The number of tasks for each institution displays in the #COURSE column.
When you first open this page you will see a list of the institutions that you have closed evaluation tasks with. You can click the arrow button next to an institution to see the closed evaluation tasks for that institution.
Search All Closed Evaluations
There are several Search categories available, just as we saw in the All Open Evaluations queue. In this queue, you can search the closed evaluation tasks by current assignee, (any) previous assignee, institution, course code (either by the transfer course or by the proposed equivalent home course), creator, and/or by evaluation age. There is also an option to change the sort order (once you are looking at a list of evaluation tasks). Of course, you can sort any list that you produce using the column headings in the list that displays.
In fact, you can also just look at the entire list by clicking Search, Search without selecting any filtering criteria. We’ll take a look at each of these searches.
- If you simply click the Search button in All Closed Evaluations page, and then the Search button in the search box, a list of all of the closed evaluations for all of the users at your institution in TES displays. You can change the sort order from course code to create date, assignee, creator, or institution. Click the arrow to the left of any evaluation to view its’ details.
Search by Current Assignee
- You can filter the list of (now closed) Evaluation Tasks by the person that they were last (currently) assigned to. Select the person’s name in the Current Assignee drop-down list and click the Search button to see a list of the closed evaluations that were assigned to that reviewer when they were closed. You can change the sort order from course code to create date, assignee, creator, or institution. All closed evaluation tasks assigned to that person will display. Click the arrow to the left of any evaluation to view its’ details.
Search by Previous Assignee
- You can filter the list of closed Evaluation Tasks by any person that they were previously assigned to. Select the person’s name in the Previous Assignee drop-down list and click the Search button to see a list of the closed evaluations that have ever been assigned to that reviewer. You can change the sort order from course code to create date, assignee, creator, or institution. All closed evaluation tasks previously assigned to that person will display. Click the arrow to the left of any evaluation to view its’ details.
PLEASE NOTE: All of these searches can be filtered to display just Evaluation Tasks that resulted in a stored equivalency, just Evaluation Tasks that did not result in a stored equivalency, or Evaluations Tasks that either resulted in or did not result in (Both) a stored equivalency.
- If "Both" is selected (default), you will see all the Closed Evaluation Tasks that meet all the other selected criteria.
- If "No" is selected, you will only see the list of Closed Evaluation tasks for the selected criteria that did not result in a stored equivalency.
- If "Yes" is selected, you will only see the list of Closed Evaluation tasks for the selected criteria that did result in a stored equivalency.
Search by a Particular Institution
- Select the Institution name in the drop down list and click the Search button to see a list of the closed evaluations for that feeder institution. You can change the sort order from course code to create date, assignee, creator, or institution. All closed evaluation tasks for that source institution will be displayed. Click the arrow to the left of any evaluation to view its’ details.
Search by Course Code – TRANSFER COURSE
- Click the Search button to see a list of the closed evaluations for the selected transfer course. Click the arrow to the left of any evaluation to view its’ details.
Search by Course Code – PROPOSED EQ COURSE
- Click the Search button to see a list of the closed evaluations for the selected home course. Click the arrow to the left of any evaluation to view its’ details.
Search by Creator
- Filter the list of open Evaluation Tasks by the person that created/initiated the task. Select the person’s name in the drop down list and click the Search button to see a list of the closed evaluations created by that individual. You can change the sort order from course code to create date, assignee, creator, or institution. All closed evaluation tasks created by that person will be displayed. Click the arrow to the left of any evaluation to view its’ details.
Search by the Evaluation Age
- The search options are ALL, 2 DAYS, 5 DAYS, 10 DAYS, 15 DAYS, 20 DAYS, 30 DAYS, 60 DAYS, or 90 DAYS
- Click the Search button to see a list of the closed evaluations that are newer than the selected age. Click the arrow to the left of any evaluation to view its’ details.
Sorting the List of Results
- Sort List By: allows you to change the sort order of the evaluation tasks that are displayed. The default sort is by the transfer COURSE CODE, but you can change the sort to display the list in order by CREATE DATE, ASSIGNEE, CREATOR, or INSTITUTION. Click the arrow to the left of any evaluation to view its’ details. Of course, you can always simply sort the displayed results by any of the column headings.

Reset the Search
- Use the Reset button to clear out any previous search/sort criteria, and return to the full list of closed evaluations by clicking the Search button (sorted by COURSE CODE).
Institution List View
- You can quickly return to the full list by Institution by clicking the INSTITUTION LIST VIEW checkbox.
Exporting the List of Results
- Export allows you to export whatever list you have selected to Excel. he file is exported as Read-Only, but you can enable editing and use all the many tools in Excel to manipulate the file for your needs.
1 Best practice would dictate that a proposed equivalency should end in some form of an equivalency for institutions that do store their equivalencies in TES. If a proposed equivalency is denied by the reviewer, assigning an equivalency to a user-added course that designates that the course will not transfer is preferable to leaving the incoming course as “unevaluated”. In other words, you want to, a.) value the work that went into the evaluation and, b.) avoid resending duplicate evaluations every time another student brings in a transcript with that course.
