Equivalency Data

 

This document is an aid for getting started with the Transferology subscription based upon where an institution's equivalency data comes from.
Equivalency Data in TES
  1. Review TES equivalencies to determine if they are updated
    1. Perform updates, as needed
  2. Set up Transferology Lab account. This is performed by CollegeSource staff.
    1. Generates an email to the School Administrator(s) to review school information, e.g., the About text, images
    2. Review and updates performed by the School Administrator
      1. Add up to 11 Information links
      2. Send any new images to CollegeSource staff
  3. Pull equivalency data from TES to the Transferology Lab
    1. Generates an email to the School Administrator(s) with a prompt to log into the Lab to review equivalency data
    2. Alert CollegeSource staff to "flip the switch," that is, to make equivalency data viewable to students in Transferology. This is performed by the School Admin.
  4. Update to equivalency data is performed nightly from TES to Transferology
    1. Pull changes/additions to the equivalency data in TES to Transferology every night
    2. Updates to Transferology occur early the following morning
  5. Add programs. This is performed by School Administrator or Program Administrator.
    1. Follow “View File Format” found under Program Setup/Manage Programs
    2. Import the file
    3. Go to School Profile/School Management/General Information Tab and change the Programs Enabled flag to Enabled and click Save
      1. Students can now view Program information
      2. School is now included in the student's Search for Programs results
  6. Add your school's URL toTransferology
    1. Navigate to Promote Your School information in the Lab
    2. Decide whether to utilize the Student Referral Link or Student Referral Badge
    3. Embed the link or the badge on the school website, along with information explaining Transferology
    4. Refer students to your website for access to Transferology
      1. This will display only your school in the Match % list (all other schools will not display)
      2. Students will see a “Show Additional Results” button to view the other schools with Matches
TES Subscription with no Equivalency Data in TES
  1. Create a file of equivalency data from whatever source your school has data stored in (e.g., SIS, TA system, spreadsheet). This is performed by IT staff at your school.
    1. Submit the file to Halena Do at Halena@collegesource.com
      1. Work with Halena on any issues and error reports
    2. Once the file is complete with Halena, equivalency data gets pulled from TES to the Transferology Lab
  2. Set up the Transferology Lab account. This is performed by CollegeSource staff.
    1. Once completed, an email is sent to the School Administrator(s) to review school information, e.g., images, the About text
    2. Make any necessary changes/updates
    3. Add up to 11 Information Links
    4. Send new images to CollegeSource staff, if desired
  3. Pull equivalency data from TES to the Transferology Lab
    1. Once completed, an email is sent to the School Administrator(s) to request a login to the Lab to review equivalency data
    2. Alert CollegeSource staff to “flip the switch,” that is, to make equivalency data viewable to students in Transferology. This is performed by School Admin.
  4. Determine whether to keep TES up to date or submit two import files per subscription year
    1. Equivalency data is updated every night from TES to Transferology
    2. Changes and additions made to equivalency data in TES gets pulled to Transferology every night and updated to Transferology early the next morning
  5. Add Programs. This is performed by School Administrator or Program Administrator.
  6. Follow “View File Format” found under Program Setup/Manage Programs
    1. Import the File.
    2. Go to School Profile/School Management/General Information Tab and change the Programs Enabled flag to Enabled and click the Save button.  Students will now be able to view the Program information and the school will be included in the Search for Programs for students.
  7. Add URL to school’s website for Transferology.
    1. Navigate to Promote Your School information in the Lab.
    2. Decide whether to utilize the Student Referral Link or Student Referral Badge.
    3. Embed the Link or Badge on website with information explaining Transferology.
    4. Refer students to your website for access to Transferology.
      1. This will show only your school in the Match % list.  All other schools will not be displaying.  Student will have a “Show Additional Results” button to view the other schools with Matches.
uAchieve License and Utilizes TA
  1. Transferology Lab account is set up by CollegeSource staff.
    1. Once completed, an email will be sent to the School Administrator(s) to review the images, About Text, and other school information.
      1. School Administrator makes any necessary changes and updates.
  2. Can add up to 11 Information Links.
  3. Sends new images to CollegeSource staff if desired.
  4. IT resources at school installs the Transferology Connector to uAchieve TA tables.
    1. Information found in the Support Center.
  5. IT resources at school makes connection to degree audit information if you want to allow students to run a uAchieve degree audit from Transferology, and staff from the Lab.
    1. Information found in the Support Center.
  6. Add URL to school’s website for Transferology.
    1. Go to Promote Your School information in the Lab.
    2. Decide whether to utilize the Student Referral Link or Student Referral Badge.
    3. Embed the Link or Badge on website with information explaining Transferology.
    4. Refer students to your website for access to Transferology.
      1. This will show only your school in the Match % list.  All other schools will not be displaying.  Student will have a “Show Additional Results” button to view the other schools with Matches.
Utilizes PeopleSoft TA
  1. Set up Transferology Lab account. This is performed by CollegeSource staff.
    1. Sends an email to the School Administrator(s) to review the images, the About text, and other school information
      1. Make any necessary changes/updates. This is performed by your School Administrator.
    2. Add up to 11 Information links
  2. Send new images to CollegeSource staff, if desired
  3. Install T-Rex interface. This is performed by the IT resources at your school
    1. Reference documentation for this step in our Support Center
  4. Add Programs. This is performed by your School Administrator or Program Administrator.
    1. Navigate to “View File Format” found under Program Setup/Manage Programs
    2. Import the file
    3. Navigate to School Profile/School Management/General Information tab and change the Programs Enabled flag to Enabled; click Save
      1. Students can now view the program information and the school will now be included in the students' Search for Programs

No TES Subscription and does not Utilize uAchieve TA or PeopleSoft TA
  1. IT staff need to create a file of equivalency data from whatever source the school has the data stored in (i.e. SIS, TA system, spreadsheet).
