Pathway Management

Pathway Management is an area where transfer agreements between your institution and its partner school may be managed and approved for student viewing. These agreements, or pathways, are sometimes referred to as "transfer pathways" or "2+2 agreements. Pathways are established one-on-one between partnering schools through mutual agreement. Pathways allow students to explore transfer options between schools to take advantage of these partnership agreements, e.g., by taking the first two years at a local community college followed by two more years at a four-year university.

Pathways Management functionality is available to Transfer Pathways Administrators and School Admin roles in the Transferology Lab.

 

In the screenshot below, for example, my school (Ohio University) has three partner schools:

  • Columbus State Community College
  • Hocking College
  • Washington State Community College

 

 

From the School Profile drop-down menu, select the Pathway Management option. The Pathway Management page displays existing pathways in a table format:

 

 

Pathways may be created to any school, whether they subscribe to Transferology or not.

Notifications

Whenever changes are made in the Pathway Management area, email notifications are generated behind the scenes to the Transfer Pathway Administrator at the school.

Schools will receive email notifications whenever the following actions occur:

  • A partnership is created
  • A pathway is approaching its expiration date
  • A pathway name is changed
  • A pathway is deleted

The pathway creator ONLY receives an email notification when either of the following conditions are met:

  • If the pathway the creator created is about to expire
  • If the pathways the creator created does expire

 

CollegeSource does not perform any type of validation on transfer pathways to ensure content.

Partner Schools

Partner schools (those schools that your institution has established transfer agreements with) are displayed alphabetically with an interactive link for Total Pathways.

View Partner Schools

 

 

  • Click a partner school's Delete button () to delete it from the list; this is only available if the school has zero pathways
  • If the Delete button is grayed out (inactive), the school may only be deleted once all of its pathways are removed

    To ensure accuracy, pathways expire after one year but may be "re-approved."

     

Filter

Since the list of partner schools may be quite extensive, use the Filter field near the top of the window to filter the list to your specifications.

 

 

Populating List of Partner Schools

The list of partner schools in the table may be populated in (any combination of) three different ways:

  1. Pathways exist because they were manually added by my school
  2. Created new because my partner school added me
    1. Both schools benefit since it eliminates re-work
  3. Imported automatically because I am a TES user and have at least one TES Group Report

Pathways

View the pathways associated with the partner school by clicking on the pathways hyperlink. In the example below, we will take a look at one of our partner schools: Capital University

 

 

View Pathways

When initially viewing pathways established with a particular partner school, a pop-up Warning window appears:

 

 

This message serves as an informal agreement to the accuracy of the transfer information and is binding both schools to mutual responsibility.

The pop-up Warning window only appears once per school per login session, unless it is not agreed to, in which case it will continue to display until log out.

 

Click the I agree checkbox. Then click the Agree button () to proceed to the pathways with your selected partner school.

 

Pathways To/From Your School

Two tabbed categories appear:

  • Pathways To My School (default)
  • Pathways From My School
Pathways To My School

This tab presents a list of pathways from partners schools to my school, e.g., TO my university (and FROM my community college). Pathways are listed alphabetically by name.

Filter

Filter extensive lists of pathways using the text field filter or the filter box:

Pathway

Click the Pathway button to review the details of the pathway agreement. In the screenshot below, a TES Group Report format file opens in a new tab for your review:

 

 

Pathways may be one of two types:

  • PDF
  • TES Group Report (for TES users)
Name Name of the pathway, should be descriptive to the partner school
Partner

Hover over the button with the mouse to view the date of pathway approval by the partner school

 

 

  • "-" the partner school subscribes to Transferology, but has not yet approved the pathway
  • "x" the partner school does not subscribe to Transferology, and will not show up in the Match Results
Me

Unconfirm/unapprove the pathway to make it expire the pathway by clicking the Me checkbox to remove the checkmark

  • the pathway will expire–the date of expiration will appear in red in the Expires column

 

 

Confirm/approve the pathway to make it current by clicking the Me checkbox to add the checkmark back

    • the pathway is current–the (future) date of expiration will appear in the Expires column (for accuracy purposes, expiration date will be set one year out from date of last action taken)

 

A green bubble momentarily appears in the upper right corner to indicate the pathway has been updated.

Expires  
  • Pathways with future dates of expiration are listed in the Expires column
  • Pathways within one month of their expiration dates appear in yellow
  • Pathways past their expiration dates appear in red
Edit  

Edit Pathway pop-up window provides an area to change the name of the pathway IF YOU ARE THE CREATOR:

 

 

 

  • Name*: (required) enter a unique name for the new pathway
  • File Name*: the file name of the pathway

  • Approved for display to students? Select whether to approve the pathway for display to students using the checkbox

Delete  

Delete the selected pathway IF YOU ARE THE CREATOR

A confirmation window will appear to ensure the pathway deletion:

 

 


Approve

Click the blue Approve button () to approve pathways in bulk. From the Approve drop-down button:

 

 

  • All: approves all pathways to your school listed in the table
  • None: approves no pathways to your school listed in the table

Pathways will not show to students until they are approved.

If you Approve, and then immediately "unapprove" a pathway, the expiration date will reset.

 

Refresh From TES

For those "to" partner schools using TES Group Reports–created in TES and based on equivalencies–the Refresh From TES button refreshes the list of pathways from TES on-demand instead of having to wait for nightly refreshes. Click the Refresh From TES button () to perform the refresh:

 

 

A green bubble momentarily appears in the upper right corner to indicate the pathway has been successfully refreshed, including:

  • Number of created pathways
  • Number of updated pathways
  • Number of deleted pathways
Refresh From TES is available for "to" partner schools, only.

+ Add Pathway

Add a new pathway to the Pathways to my School tab with the + Add Pathway button ()

 

 

  • Name*: (required) enter a unique name for the new pathway
  • File Name*: (required) choose a file location for the new pathway
  • File must be one of two formats:
    1. PDF
    2. TES Group Report
  • File must not exceed 2.0 MB
  • Approved for display to students? (selected by default) Select whether to approve the pathway for display to students in the Transferology application using the checkbox

TES imported pathways may not be deleted.

In one day, the partner school will be notified of the addition of a new pathway.

 


 

Pathways From My School

This tab presents a list of pathways from my school to partners, e.g., FROM my community college (and TO my university). Pathways are listed alphabetically by name.

Edit

Add a Partner Schools

Add a new partner school to the table via the + Add a Partner School button (). The Add a Partner School dialog box appears, where you may input a School Name to add:

 

 

Click the Add School button () to add this new school to your table of partner schools.

A green confirmation bubble momentarily appears in the upper right corner to indicate the pathway has been updated:

The new partner school will be added into the list of partner schools by alphabetical order:

 

 

  • In addition to Adding a If your partner adds pathways to/from you, the list will populate.
  • If you have TES Group Reports (pre-loaded) they will populate the list.

Delete Partner School

Delete a partner school from the table by clicking that school's corresponding Delete button () in the table. A confirmation bubble will appear to confirm the deletion:

 

 

A red confirmation bubble momentarily appears in the upper right corner to indicated the partnership with the partner school has been deleted:
