Manage Student Plans


 

Student Search

To access the Manage Student Plans page, you must first select a student from the uAchieve Planner Home page.

  • To view yourself as identified from your login, click View Your Profile under the Student Access icon. From the Manage Student Plans page, select Plans on the lower menu bar.

or

  • To view a student, click on the Students button (alternately, select Students from the menu bar, sub-menu Search) and search a student.

How to Find a Student

Find a student in one of 3 ways:

  1. Search for a specific student
    1. Search for student info
      1. by Student ID: must know the exact ID of the student
      2. by First Name: key in the student's first name
        1. May search by partial or full name (e.g., "Jo" will return both "Jon" and "Jonathan")
        2. May search First Name only or First Name and Last Name together for a more restricted search
      3. by Last Name : key in the student's last name
        1. May search by partial or full name (e.g., "Jo" will return both "Jon" and "Jonathan")
        2. May search Lane Name only or Last Name and First Name together for a more restricted search
    2. Click the Search button to view search results. At this point, you may View Selected Student or Return to List of My Advisees.
  2. Pick one from your personal list of assigned advisees (displayed in the table)
    1. Click theSelect button for the Student button to open the Manage Student Plans page.
  1. Add a new student

Complete the following fields and Save Student:

    • Student
    • Name
    • Notes

 

  • After finding a student, select Plans on the lower menu bar to view the student on the Manage Plans page.

 

If the student has a plan or plans, they will display on the Manage Student Plans page.

No Declared Program?

If the student does not have a declared program (indicated on the Manage Plans page), then the current year term (in the example below, Summer of 2016) will display in the Catalog field:

New in 4.3.0.4 The regCutoffMonth can be used to determine what the catalog year should be set to if the student has no declared program.

Create a Plan

Create a Plan was improved with the addition of separate tabs for "My Plans" and "Create a New Plan" (first implemented with the 4.2.1 release). This change made the app more intuitive and accessible to users.

Two tabs appear at the top of the Manage Student Plans page: My Plans (default) and Create a New Plan:

My Plans

The My Plans tab allows students to manage their plans by editing, copying, renaming, and designating a Declared Plan.

 

Student plans are listed in a table in alphabetical order by plan name. Column headers and functionalities are summarized below:

Declared

The Declared plan is the plan that the student intends to follow. While the student may continue to build other "What-If" plans, the Declared plan remains the intended plan.

Designate a plan as the intended path by clicking the outlined star button:

NOTE:
A student may only have one Declared plan.

 

NOTE:
The declared plan may not be deleted.

 

Edit Plan

The plan name links to the Plan Builder page. Students edit their plans by dragging courses to appropriate terms on their plans and then checking plans against the audit to ensure requirements are fulfilled:

NOTE:
Plans marked with a red asterisk (e.g., * RM Plan) are plans with no associated roadmaps. Clicking on the name hyperlink for a plan with no associated roadmap prompts the student to choose a roadmap on the the Add Roadmap page:

 

Action

Four possible options under the Select drop-down menu in the Action column:

Depending upon your assigned permissions, all of the options in the drop-down menu may not appear. For example, if you are not permitted to edit plans, then "Edit Plan" will not appear as a selectable action.

  • Edit Plan: Edit the plan in the Plan Builder page. See the Edit Plan button above.
  • Rename: rename a selected plan; click OK

(NOTE: "Rename" is not a menu option for a plan with no associated roadmap)

  • Copy: create a copy of the selected plan; click OK

(NOTE: "Copy" is not a menu option for a plan with no associated roadmap)

  • Delete: delete a plan from the students list of plans; click OK

(NOTE: "Delete" is not a menu option for the declared plan)

Updated Date of the last update to the student plan
User Name of the last user to update the student plan

PDF

Generates a PDF file of the plan to view/print, including breakdown of courses by term

(NOTE: "PDF" is not an option for plans without associated roadmaps)

Create a New Plan

The Create a New Plan tab allows students to create a new plan by entering plan information into relevant fields.

 

Field names and functionalities are summarized below:

Click on the Program field to pick an alternate program on the Choose a Degree Program Below page:

Click Cancel to return to the Create a New Plan tab

Plan Name Key in the name of the newly created plan
Term Select a term for the new plan from the drop-down menu
Year Key in the year for the newly created plan
Years to Graduation Select the number of years to graduation from the drop-down menu

 

Click the Add Plan button () to create the plan.

To create a plan in 4.2 for the first time, or to add another plan to the current list, click Create a New Plan () button in the header next to the Catalog field. An "Enter Plan Information Here" subsection is forced into the Manage Student Plans page:

 

Complete the fields (Plan Name, Term, Year, and Years to Graduation), then Add Plan.

NOTE:
To cancel the "Create a Plan" action and return to Manage Student Plans page, click the Create a New Plan button again.

 

Plan From an Audit

If the student has a declared major, the new plan will be (by default) with the student's declared major. A different major may be selected by clicking Select a Different Program:

New plans are created from an audit when planning from an audit is turned on in the Admin Help area of Dashboard:

Navigate to the Plans & Roadmaps section and select the General option from the drop-down:

 

To plan from the audit (as opposed to from a roadmap) ensure that Allow Planning From Audit option is set to True:


4.2.1-Current Release

New plans are created from an audit when planning from an audit is turned on in the setting of the udirect.properties file (see daversion).

On the "Create a New Plan" tab, a different major may be selected by clicking the Program Name hyperlink:

 

You will be prompted to choose a different degree program from the list:

Or, click Cancel to return to the Manage Student Plans page.

New plans are created from an audit when planning from an audit is turned on in the setting of the udirect.properties file (see daversion).

Select a Different Program displays a list of all available programs. If the student has a declared major, it will appear highlighted within the list of available programs.

 

Plan From a Roadmap

When planning from an audit is turned off in the Admin help area, the Create a New Plan tab displays available roadmaps (blue hyperlinks) from which you may plan:

 

Scroll to the roadmap to choose one from the available list.

Any roadmap can be chosen unless the student is forced to only be able to plan from their declared major.

 

Once a roadmap is selected, the Create a New Plan tab display changes. The tab now provides the user with enter additional plan information fields for the chosen roadmap that is listed above the input boxes:

If you wish to plan from a different roadmap, click the Chosen roadmap button:

The list of available roadmaps returns to allow for alternate roadmap selections. The chosen roadmap appears highlighted in yellow on the page:

 

NOTE:
Plans not associated with a roadmap may not be deleted.

 

Comments

Comments provide an avenue of communication with students and other advisors at your institution. Comments foster collaboration during the academic planning process. Alternately, you may opt to leave "Private" comments only to yourself.

Add a New Comment

  • Click Add New Comment () to view data fields:

  • Select comment type: Private or Share With: Student and/or Other Advisors
    • Private: only you can view this comment; the student and other advisors are not able to see this comment
    • Share With: Student and/or Other Advisors (choosing one or both)
      • Student: the student will be notified that a comment has been added; students can reply to this comment
      • Other Advisors: any advisor who has access to view this student and their plans within u.direct will be able to view and reply to this comment
  • Link With Plan: links the comment with a plan selected from the drop-down menu; linked comments can be seen when viewing the plan they are linked with. "None" is the default setting, where the comment is not linked to a particular plan.

Click Save to conserve changes; click Cancel to cancel changes.

View all existing comments from you, the student, or any other advisors (unless those comments are Private). Comments are automatically collapsed; click the Expand button () to the left of each Comment to view the entire comment.

Three options appear for Reply, Edit, and Delete:

  • Reply to any comment from yourself, the student or another advisor by clicking Reply ()
  • Edit your own comment by clicking Edit ()
  • Delete your own comment by clicking Delete ()
