Roles

 

Roles are a functional grouping of permissions with a label that simulate real life capacity (e.g., Student, Advisor, Anonymous). Roles define permissions–the level of access granted (Read, Update, Create, and/or Delete) to a specific application function. Users may be assigned to multiple roles, which may be utilized to design the varying types of permissions that you need to create for access to the application functions. As  An Application Function (or "App Function") is a predefined area available in CollegeSource applications where the level of access can be controlled.

For example, Application Functions for uAchieve Planner include the following:

  • Plans
  • Roadmaps
  • Publishers
  • Student Search
  • Admin

Security roles and permissions were streamlined in the 4.4 release to make setting of these values easier to control. Application-specific security settings for user roles (e.g., advisor, student, user, and anonymous) have been replaced with simple CollegeSource (CS_) equivalents:

App Function Description
CS_ROLE_ANONYMOUS Allows the user with no login/password entry into an application.
CS_ROLE_USER Allows the user to gain entry into the application. Every user MUST have this role and role must have CREATE set to FULL.
CS_ROLE_STUDENT Allows the user to access the student menu within the application
CS_ROLE_STAFF Allows the user to access the staff menu within the application
CS_ADMIN_FUNCTIONAL Allows the user to access all admin functions except the logging area
CS_ADMIN_TECHNICAL Allows the user to access only the logging area–no admin functions
NOTE: If you do not have CS_USER AND CS_STUDENT or CS_STAFF, then user will see an "Access Denied" display on-screen.

 

Existing Roles

Select an existing role from the scrolling list by clicking on a Role name. This name will populate:

  • Groups that Contain this Role field on the right (if applicable)
  • Role Name field below. The selected role's permissions (Read, Update, Create, Delete) within each App Function appear in the table below:

NOTE:

  • DASH_AUDIT_COMPARE: Controls user access to the Audit Comparison tool (a new enhancement implemented in the 4.3.0.4 release)
  • DASH_Reports: Controls access to the Reports in Dashboard
  • DASH_TRANSCRIPT_IMPORTER: Controls access to the Transcript Importer tool (a new enhancement implemented in the 4.5 release)

Click the drop-down arrows to change Read, Update, Create, and/or Delete permissions for any App Function. Options include:

  • None
  • Restricted
  • Full

Click the Save button to conserve any changes.

 

Create Roles

To create Roles, navigate to the Roles option on the Security menu drop-down:

Follow these steps to create Roles:

  • In the Role Management page, click the New button (New button.jpg); this prompts a new Role Name field to appear on the right side of the screen.

  • Within the Role Name field, create a unique Role name:

     
  • Click the Add button (Add button.jpg); the new created role name will appear within the Roles list on the left side of the page:

    See below to Clone or Delete a Role.
     
  • Determine which App Functions this Role will have permissions for in the table below. All App Functions are specific to the application selected in Step 1.
     
  • For each App Function, click the drop-down to set the status of permission.
    1. Permission Aspects (4): Read, Update, Create, and/or Delete
    2. Permission Values (or "Permission Statuses") (3): None, Restricted, or Full

  • Click the drop-down for each App Function to set the status of permission
  • Click the Save button (Save button.jpg).

    The entire set of application functions with permissions set for each comprises a single Role.

  • Groups that Contain the selected Role will be listed at the bottom. To add Roles to the selected Group, see the Group's section.

NOTE: To add this new Role to a Group, use the Group Section.

 

Clone Roles

The following steps describe how to clone a role:

  1. Select a Role from either the Roles list or the Role Name field
  2. Click the Clone button (Clone button.jpg)
  3. A pop-up warning box prompts you to confirm the Role cloning; Click Clone to confirm the role clone or Cancel to cancel the cloning and return to the previous Role Management page.
  4. A successfully cloned Role will appear in the Roles list to the left
  5. Determine which App Functions this Role will have permissions for in the table below. All App Functions are specific to the application selected.
     
  6. For each App Function, click the drop-down to set the status of permission.
    1. Permission Aspects (4): Read, Update, Create, and/or Delete
    2. Permission Values (or "Permission Statuses") (3): None, Restricted, or Full

       
  7. Click the drop-down for each App Function to set the status of permission
  8. Click the Save button (Save button.jpg).

    NOTE: The entire set of application functions with permissions set for each comprises a single Role.

  9. Groups that Contain the selected Role will be listed at the bottom. To add Roles to the selected Group, see the Group's section

NOTE: To add this new Role to a Group, use the Group Section.

 

 

Delete Roles

The following steps describe how to delete a role:

  1. Select a Role to delete from the Roles list

  2. Click the Delete button (Delete button.jpg)
  3. A pop-up warning box prompts you to confirm the Role deletion. Click Delete Role to confirm the role deletion or Cancel to cancel the deletion and return to the previous Role Management page.
  4. A successfully deleted Role will be removed from the Roles list.

 

Groups That Contain This Role

When a role is selected within the role list on the Role Management page, the Groups That Contain This Role list at the top-right of the page will populate with any Groups that contain the selected Role, if applicable. 

(If no Groups contain the selected Role, then the list will appear blank.)
